Recreation Commission Minutes 05/19/05
Evendale Recreation Commission
May, 19, 2005

Called to Order at 7:32am.

Roll Call: David Nichols, Jeff Albrinck, Michele Gottschlich, Mike Flavin, Mary Lou Isaac, Wayne Mosley, Beth McDaniel. Excused: Molly McMahon

Recognition of Visitors:
·       Bill Brewer, Princeton High School Boys’ Varsity Basketball Coach
·       Kristen Maiden, Program Supervisor

Approval of Minutes:
·       Amend to: Patty Grist recently sent letters to Adult Service members soliciting financial donations for a marathon she is doing in the near future.  Jeff will check with the Mayor about any possible violations of policies.

·       Motion to Approve as amended made by Jeff Albrinck; seconded by Michele Gottschlich. Motion passed.

New Business:
·       Bill Brewer
He is visiting Princeton School District Recreation Departments to introduce himself and hopes to work with the various departments’ coaches to improve the kids’ skills and their game.
Princeton is planning a summer basketball league (3rd grade & up) to develop skills & passion for the sport. Teams will be of mixed ability, with a pre-planned rotation so everyone gets to play.
- July 5th with be an evaluation day to create the teams, practice & play starts the next week.
·       Kristen Maiden
- Supervisor for the sports programs, court & field reservations, building attendants, and child care.
- question asked about open gym - - she tries to maintain at least one gym open for residents to play in, during basketball season it’s not always possible, only a few of the open spots are taken by select teams, they usually schedule right after school or late in the evening.
- we encourage courtesy, so if a younger person comes in to shoot, but the older kids don’t share, they should ask the staff for assistance in opening up a hoop for the young player.
- rainouts – tarps have been considered but the teams would have to help cover and uncover the fields.  Rescheduling has not been an issue this year. This may deter people coming down and just using the fields. (Girls Softball team is going well, the girls are having fun, and Marty Kramer is doing a great coaching job.)
- Commission consensus: Kristen does a “heck of a job”
·       Employee Handbook – maybe we should consider employees read and sign-off on an employee handbook every few years, just as a reminder of the employment rules.

Old Business:
·       Tri-Health Report
- Healthy Ohioan Walk will be at noon today, thirty people have pre-registered.
- Kids’ RecFest is Saturday, May 21st.
- Compliments given to Katie Gioielli for getting involved with patrons.
·       Soccer fees
- Fees Sub-Committee has developed a chart as a guideline for setting fees. (Most program fees will not be affected until 2006.)
- based on chart, $15 fee suggested for upcoming Fall youth soccer program.
  Motion to approve the suggested fee made by Wayne Mosley; seconded by
  Mary Lou Isaac. Motion passed.
·       Business memberships
- there is a limited number of business memberships at a set annual rate

Director’s Report:
·       Fees structure chart handed out, it will be used and a report will be given later in the year.
·       Community Camp Out coming in August, in lieu of the Ladies Fashion Show & Tea
·       Family Movie Night had 120 participants, at a event cost of approximately $75.00.
·       Policy Sub-committee Recommendations
- look at increasing rental fees, especially for fields & courts
- PAYS classes only happen every 2-3 years (“new” participants in sports programs, though, must still go through the program)
·       Building to be closed, tentatively, for maintenance & cleaning the last weekend of August (fitness center will be open Saturday, 8am-noon, only)
·       Pavilion schedule is being mailed this week.
·       The running up of soccer scores will be addressed at a league meeting on May 24th.
·       Update from Kim Pielage
- Relay for Life went ok even though the weather didn’t cooperate
- a concert at the Pavilion for Phi Lambda Pi only will be held one Wednesday night this summer.
- a Texas Hold’em Poker Night will be held this year
- a PLP reunion is being developed, Kim is setting up a committee of previous members.
·       Funding Phase for trails is coming; Dave Nichols is working with Michele Gottschlich; late this year he will bring Deborah Edsall to assist.
·       The boiler at the pool is working.

Phi Lambda Pi Report:
·       Paintball this weekend (Request made to Kim and Kristen to coordinate schedules, some kids chose paintball over soccer therefore a soccer game had to be rescheduled)
·       Texas Hold’em Poker with the parents is coming (Euchre will also be available)

Open Discussion:
·       Pavilion – increase its use by inviting theatre groups (approach clubs, schools, etc) to come and perform. This would give them extra performances to show off all their hard work.
·       Camp Laffalot has few sign ups right now, but may pick up in June once schools are out.
·       Five Year Master Plan
Wayne Mosley – trails, parking, picnic tables at Griffin
Mary Lou Isaac – former Churchill property should not be sold off (per Jeff, council has already agreed with this), Kingsport to Cooper walk/bike trail, a way for Evendale businesses to donate or give-back to Evendale by helping with the Five Year Master plan ideas.
Mike Flavin – outdoor batting cage, walking trails
·       Bees at the Shelter House
One of the many areas to be treated – Public Works is aware
·       Playground
- sandbox – suggestion made by the playground company to place the Tufflex -rubber floor panels over the sand then place a play structure over top.
- signage for recommended ages will be placed at the appropriate age equipment
- bridge on the intermediate play equipment will be fixed
